How Humber Technical Solutions collects, uses and protects personal information when you make an enquiry or become a client.
Back to the website1. Who is responsible for your information
Humber Technical Solutions is a UK sole trader business. Humber Technical Solutions is responsible for the personal information described in this privacy policy.
For any privacy question or request, email luke@ht-solutions.co.uk.
2. Information I may collect
I only ask for information that is reasonably needed to respond to an enquiry, prepare work, deliver services and keep appropriate business records.
- Your name, company name and business contact details.
- The service you are interested in and the information you include in an enquiry.
- Emails and other correspondence relating to an enquiry, quotation or project.
- Information needed for invoices, accounts and tax records if you become a client.
- Basic technical information that may be recorded by the website hosting provider for security and reliable operation, such as an IP address and server request logs.
The website enquiry form does not accept file uploads. If drawings, tender documents or other project files are needed, you can send them directly by email after making contact.
3. Why I use personal information
Responding to enquiries
I use contact details and enquiry information to understand what support you need, reply to you and, where appropriate, prepare a quotation or scope of work. The lawful basis is legitimate interests in responding to genuine business enquiries and operating Humber Technical Solutions.
Providing services
If work proceeds, I use relevant contact and project information to deliver the agreed service, communicate about the work and maintain appropriate records. Depending on the circumstances, the lawful basis may be contract, legitimate interests, or both.
Accounting and legal records
I may keep invoice, payment and transaction records where required for tax, accounting or other legal obligations. The lawful basis is legal obligation.
Website and enquiry security
Limited technical information may be used to protect the website and enquiry process from misuse, spam and security threats. The lawful basis is legitimate interests in protecting the business and its systems.
4. Who information may be shared with
I do not sell personal information.
Information may be shared only where reasonably necessary with service providers that help operate the business, such as website hosting and email providers, professional advisers, or public authorities where disclosure is required by law.
The website enquiry form currently uses FormSubmit to receive form submissions and forward them to luke@ht-solutions.co.uk. FormSubmit states in its documentation that form submissions can be retained for 30 days. You can also contact me directly by email instead of using the form.
5. International processing
Some technology providers may process information outside the United Kingdom. Where this happens, the relevant provider and I are expected to use safeguards required by UK data protection law where those safeguards are necessary.
6. How long information is kept
Personal information is not kept indefinitely just in case it may be useful later.
- General enquiries that do not lead to work are normally reviewed and deleted within 12 months of the last meaningful contact.
- Client and project correspondence may be kept for longer where it remains reasonably necessary for the working relationship, project records, resolving queries or protecting legal rights.
- Financial and tax records are kept for the period required by HM Revenue and Customs. For self employed business records, this is generally at least five years after the 31 January submission deadline for the relevant tax year.
- FormSubmit states that it retains form submissions for 30 days.
7. Your data protection rights
Depending on the circumstances and the lawful basis being used, you may have rights to ask for access to your personal information, correction of inaccurate information, deletion, restriction of use, portability, or to object to certain processing.
To make a request, email luke@ht-solutions.co.uk. I may need enough information to confirm your identity and understand the request.
If you are unhappy with how your information is handled, you also have the right to complain to the Information Commissioner's Office.
8. Cookies and tracking
The website supplied by Humber Technical Solutions does not intentionally use analytics cookies, advertising cookies or behavioural tracking. If analytics or marketing technology is added later, this privacy information and any required cookie choices will be updated before that technology is used.
9. Automated decisions
Humber Technical Solutions does not use your personal information to make solely automated decisions that have legal or similarly significant effects on you.
10. Keeping information secure
Reasonable technical and organisational measures are used to protect personal information. No method of electronic communication is completely risk free, so please avoid sending unnecessary sensitive personal information.
11. Changes to this policy
This policy will be reviewed when the way personal information is collected or used changes. The latest version will be published on this website.
